Position Overview

The Branch Office Assistant plays a key role in supporting the daily operations of a busy mortgage branch. This position partners closely with the Loan Team to assist with client communication, loan file preparation, and marketing efforts. The ideal candidate is organized, customer-focused, and comfortable balancing administrative responsibilities with client-facing interactions and light sales support.  You will be an integral part of assisting us in our growth.

Schedule

  • Monday–Friday, 9:00 AM – 2:30 PM
  • 30-minute unpaid lunch break
  • Total: 25 hours per week (part time) with future potential for full time.

Key Responsibilities

Client & Loan Support

  • Meet with clients to collect, scan, and upload required documentation
  • Conduct loan pre-qualification interviews (phone and in-person)
  • Assist in maintaining communication with clients throughout the loan process
  • Coordinate with Realtors, appraisers, title companies, and other partners

Administrative & Operational Support

  • Attend daily/weekly pipeline meetings
  • Perform accurate data entry and file management
  • Manage and update calendars using scheduling tools
  • Provide general support to the Loan Manager and branch operations

Marketing & Outreach

  • Make outbound calls to schedule appointments with clients and referral partners
  • Conduct outbound marketing calls using provided scripts
  • Assist with planning and execution of branch events
  • Support branch and corporate marketing initiatives
  • Coordinate with marketing team to meet weekly/monthly goals
  • Assist with social media content, posting, and light video editing

Qualifications Required Skills

  • Strong organizational and multitasking abilities
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Publisher)
  • Comfortable using social media platforms (Facebook, Instagram, YouTube) and conducting internet searches.
  • Ability to handle sensitive information with professionalism and confidentiality

Preferred Experience

  • Customer service, hospitality, or administrative support
  • Mortgage, real estate, or financial services industry
  • Data entry and/or office coordination
  • Telemarketing or outbound sales support
  • Basic marketing and social media content creation

Additional Details

  • Local candidates preferred (within a 30-minute commute)
